Documents Required for IEC Annual Update

For Annual Confirmation (No Changes)

  • IEC number
  • DGFT portal login credentials
  • Aadhaar-linked mobile number (for OTP authentication) or valid DSC

For Update with Modifications

  • IEC number and DGFT portal login credentials
  • PAN card of the entity
  • Updated address proof, such as an electricity bill or rent agreement, with the premises owner’s NOC in the same PDF where the premises are not in the entity’s name (for address change)
  • Cancelled cheque or bank certificate with new account details (for bank account change)
  • Updated director/partner details — PAN, Aadhaar, and mobile number of new signatory (for changes in authorised persons)
  • DSC (if Aadhaar OTP authentication is not available or preferred)

Your IEC Is Permanent. But It Still Needs an Annual Update.

What happens if you miss it

  • DGFT deactivates an IEC that is not updated or confirmed online between 1 April and 30 June (Foreign Trade Policy 2023, para 2.05(e))
  • The IEC is activated again only when the update goes through, and an update after 30 June costs ₹200
  • Only DGFT’s record shows whether an IEC is active, so check its status before your next shipment

What Exactly is the IEC Annual Update?

  • Confirm that everything is correct (if no changes), or update any details that have changed
  • Authenticate the submission using Aadhaar-based OTP or a Digital Signature Certificate (DSC)

What’s specific to Mumbai

Issued online by DGFT

Importer Exporter Codes are issued and updated online by the Directorate General of Foreign Trade (DGFT), so Mumbai importers and exporters don’t need to visit a DGFT office.

Source: DGFT

An IEC update in Mumbai is filed online on dgft.gov.in between 1 April and 30 June every year, free in that window and ₹200 after it, and no Mumbai importer or exporter has to visit a DGFT office for it. The harder part for a Mumbai business is keeping the update in line with everything else that moves: an office shift across the city, a new bank branch, a partner leaving, or an AD code registered at Nhava Sheva years ago.

When is the IEC update due for Mumbai importers and exporters?

The window is the same in Mumbai as in the rest of India: 1 April to 30 June each year, under para 2.05(d) of the Foreign Trade Policy 2023. Even if nothing has changed since last year, the details must be confirmed online in that period.

A Mumbai business that changes something mid-year also runs a second clock: 30 days from the change, under Handbook of Procedures para 2.14(b). Typical Mumbai events and what each needs on DGFT:

Event at a Mumbai businessWhat to update on DGFTDeadline
Nothing has changedConfirm the existing details30 June
Office moves from Fort to AndheriAddress, PIN and new address proof30 days from the move
A partner joins an LLP in DadarPartner details30 days from the change
New current account at a Ghatkopar branchBank details, checked with NPCI30 days from the change
A Chembur business is transferred to an entity with a different PANAn IEC on the new PAN, if it has none30 days from the change

An annual update made after 30 June costs ₹200 under Appendix 2K, as amended by DGFT on 15 April 2025, so a Mumbai firm that misses the window pays the fee as well as losing its active status.

Moving office within Mumbai or to Thane and Navi Mumbai

An office move is a change of primary details, so the IEC address must be updated within 30 days of the move. When you enter the new PIN, the DGFT portal selects the jurisdictional Regional Authority again, so a move from Mumbai to Thane or Navi Mumbai is handled online like any other edit.

Upload proof for the new premises: a sale deed, rent agreement, lease deed, or an electricity or phone bill, with the premises owner's NOC in the same PDF if the document is not in the firm's name. DGFT validates addresses through physical delivery of post, so make sure the new Mumbai address receives mail before you file.

For a company, the MCA record changes too. Since 16 February 2026, Mumbai City and Mumbai Suburban come under ROC Mumbai-I, while Thane, Palghar and Raigad, including Navi Mumbai, come under ROC Mumbai-II. A company moving from Parel to Navi Mumbai therefore changes its ROC as well as its IEC address. Ofin can handle the registered office change in Mumbai in the same engagement.

Mumbai bank accounts and your AD code at Nhava Sheva or the Air Cargo Complex

A bank change recorded on DGFT does not reach your Customs registration by itself. ICEGATE's advisory of 1 October 2026 asks that the entity name, PAN, IEC, account number, IFSC and AD code match across ICEGATE, DGFT and bank records, so the AD code needs its own change.

  • Under JNCH Public Notice 33/2022-23, an AD code's account details can be changed only at its port of registration.
  • For codes registered before June 2022, that port is the customs station where the last shipping bill with the code was filed. For a Mumbai exporter it could be JNCH at Nhava Sheva or the Mumbai Air Cargo Complex.
  • ICEGATE shows the port of registration for each AD code under Bank Account Management.
  • If your account sits at a suburban branch but the bank deals in foreign exchange through another authorised branch, use that branch's AD code.

On the DGFT side, a new account is checked with NPCI, and a "Failed" result blocks the update. The fix usually lies with your Mumbai branch: DGFT asks applicants to check bank details, PAN linkage and name matching against the bank's records. Our guide to AD code registration in Mumbai covers the Customs side.

A deactivated IEC with a shipment due from Mumbai

File the annual update on DGFT at once: a deactivated IEC is activated again on its successful updation (FTP para 2.05(e)), and after 30 June the update costs ₹200. Then check the code's status at Customs before the shipping bill or bill of entry is filed at JNCH or the Air Cargo Complex.

  • DGFT's View IEC Related Details page shows the status of an IEC at Customs.
  • In your DGFT dashboard, the tracking screen's Transmission Details show whether the change has reached Customs and how CBIC responded.
  • A suspended or cancelled IEC cannot be edited through Update/Modify IEC until the suspension or cancellation is revoked. Our free IEC Code Lookup explains each status.
Example. Seaview Garments LLP (a made-up firm) in Byculla adds a partner on 5 May 2027 and moves its export account to a bank's Dadar branch on 20 May 2027. The 30-day limits run to 4 June and 19 June 2027. It files one update on DGFT on 3 June 2027, which records both changes in time and also serves as its 2027 annual update. It then modifies the AD code account on ICEGATE at JNCH, the port where the code is registered, and records the partner change with the MCA through an LLP partner change in Mumbai.

Signing the update for a Mumbai firm or company

The update is signed online, and a signature problem found late can push the update past 30 June. Proprietors may sign with an individual DSC or Aadhaar e-sign, while partnerships, LLPs and companies need an organisation DSC in the name on their PAN, or Aadhaar e-sign by a partner or director.

Register the DSC on the DGFT dashboard well before April, and check its expiry date. For a Mumbai company that has changed directors, update the MCA record first, because DGFT pulls director details from the MCA through the CIN. Getting a code for a new entity instead is covered under IEC registration in Mumbai, and the national IEC renewal guide sets out each step on DGFT.
